1. Our Payment Safety Commitment

EduBridge is committed to protecting trainees, institutions, partners and users from payment fraud, impersonation and unsafe payment practices.

EduBridge subscriptions, institution arrangements and any related payments must only be made through official EduBridge payment channels.

EduBridge staff, ambassadors, partners, trainers, assessors or institution users should never ask you for your:

  • OTP
  • Password
  • M-Pesa PIN
  • Banking PIN
  • Card PIN
  • Login credentials
  • Cash payment to a personal number

If anyone asks for these details, do not proceed. Report the issue to EduBridge immediately.

2. What This Page Covers

This Payment Safety page explains:

  • How to pay safely for EduBridge
  • What payment requests are legitimate
  • What payment requests are suspicious
  • What trainees should do before subscribing
  • What institutions should tell trainees
  • What ambassadors and partners are not allowed to do
  • How to report suspicious payment requests
  • How refunds or duplicate payments are handled

This page should be read together with:

3. Official Payment Rule

The safest rule is simple:

Do not pay money to:

  • Personal phone numbers
  • Personal M-Pesa accounts
  • Individual ambassadors
  • Individual trainers
  • Unverified WhatsApp contacts
  • Unofficial agents
  • Anyone claiming they can “activate faster” outside the platform

EduBridge will not be responsible for payments made to unofficial or personal accounts.

4. What Trainees Pay For

Trainees subscribe to EduBridge to unlock their personal digital PoE workspace.

A trainee subscription may include:

  • PoE upload access
  • Storage for photos, videos and documents
  • Evidence organization by registered units
  • Access to trainer feedback where enabled
  • PoE readiness tracking
  • Continued access to the trainee’s digital portfolio according to the plan

The PoE belongs to the trainee. The institution supports the process, but the trainee owns their evidence.

5. Approved Trainee Subscription Plans

EduBridge trainee plans should only be paid through official channels.

Current standard plans are:

Plan Storage Price
Basic 2GB KES 750/year
Starter 3GB KES 1,000/year
Standard 5GB KES 1,500/year
Advanced 10GB KES 2,500/year

If a price shown to you is different from the official EduBridge website or portal, confirm with EduBridge Support before paying.

6. What EduBridge Will Never Ask For

EduBridge will never ask you to share:

  • Your OTP
  • Your password
  • Your M-Pesa PIN
  • Your bank PIN
  • Your card PIN
  • Your full debit or credit card details through WhatsApp
  • Your login credentials
  • Your phone’s SIM toolkit access
  • Your mobile banking password

EduBridge staff will never ask you to read an OTP over the phone, send a screenshot of an OTP, or forward a verification code.

7. Safe Payment Checklist for Trainees

Before paying, confirm the following:

  • 1.
You are on the official EduBridge website or portal.
  • 2.
The payment request is linked to your own EduBridge account or profile.
  • 3.
The plan name and amount match the official pricing.
  • 4.
You are not being asked to send money to a personal phone number.
  • 5.
You are not being asked to share an OTP, password or M-Pesa PIN.
  • 6.
You receive a payment confirmation after paying.
  • 7.
Your EduBridge subscription status updates after successful payment.

If any of these checks fail, stop and contact EduBridge Support.

8. Safe Payment Checklist for Institutions

Institutions should guide trainees clearly.

Institutions should tell trainees:

  • Use only official EduBridge links.
  • Do not pay cash to ambassadors or staff.
  • Do not share OTPs or passwords.
  • Do not send money to personal numbers.
  • Confirm the plan and amount before paying.
  • Report suspicious payment requests.

Institution users should not collect subscription money from trainees unless there is a formally approved sponsored arrangement or institution-managed payment model.

9. Partners and Ambassadors

EduBridge may work with partners, ambassadors or activation teams to help with awareness, activation and onboarding.

Partners and ambassadors may:

  • Explain EduBridge
  • Share official activation links
  • Help trainees understand plans
  • Guide trainees on how to activate their profile
  • Support official onboarding activities

Partners and ambassadors must not:

  • Collect cash from trainees
  • Receive M-Pesa payments on personal numbers
  • Ask for OTPs
  • Ask for passwords
  • Ask for M-Pesa PINs
  • Promise assessment success
  • Create accounts without trainee consent
  • Use unofficial payment instructions
  • Pretend to be TVET CDACC, QAB, QAI or institution officials

Any partner or ambassador who violates these rules may be removed and may lose any incentive, commission or partnership privileges.

10. Sponsored Institution Payments

Some institutions may choose to pay for trainees under a sponsored arrangement.

In that case:

  • The arrangement must be officially agreed with EduBridge.
  • Payment instructions must come through official EduBridge channels.
  • Trainees should still be informed how their accounts are activated.
  • The institution should not use informal personal collections.
  • EduBridge may issue official invoices, receipts or payment confirmations where applicable.

A sponsored arrangement is different from an individual staff member collecting money from trainees.

11. How to Identify Suspicious Payment Requests

Be careful if someone says:

  • “Send money to my number and I will activate you.”
  • “Give me your OTP so I can help.”
  • “Pay now or your PoE will be deleted today.”
  • “I can give you a special cheaper plan outside EduBridge.”
  • “Do not use the official link.”
  • “Send your M-Pesa PIN for confirmation.”
  • “I work with EduBridge but pay me directly.”
  • “Screenshot your OTP and send it to me.”
  • “I can guarantee your assessment will pass.”

These are unsafe requests. Do not proceed.

12. What to Do If You Paid the Wrong Person

If you accidentally paid an unofficial number or person:

  • 1.
Do not send any more money.
  • 2.
Do not share OTPs or passwords.
  • 3.
Save the M-Pesa message or payment confirmation.
  • 4.
    Take screenshots of the conversation.
  • 5.
Report the issue to EduBridge Support.
  • 6.
Report the issue to your institution, where applicable.
  • 7.
Contact your payment provider or M-Pesa support for reversal guidance.

EduBridge may help review the incident, but EduBridge cannot guarantee recovery of money sent to unofficial accounts.

13. What to Do If Someone Asks for Your OTP or Password

If anyone asks for your OTP or password:

  • 1.
    Do not share it.
  • 2.
    Stop the conversation.
  • 3.
    Take a screenshot if possible.
  • 4.
Report the person to EduBridge Support.
  • 5.
Change your password if you already shared it.
  • 6.
Contact EduBridge immediately if your account may be compromised.

EduBridge staff will never ask for your OTP or password.

14. Payment Confirmation

After making a successful official payment, you should receive confirmation through one or more of the following:

  • EduBridge portal update
  • SMS confirmation
  • Email confirmation
  • In-app confirmation
  • Payment receipt or transaction reference

If payment is deducted but your plan is not activated, contact EduBridge Support with:

  • Your full name
  • Phone number used
  • EduBridge profile/account details
  • Amount paid
  • Payment date
  • Payment reference
  • Screenshot or transaction message

Do not make a second payment before checking with EduBridge Support if the first payment appears pending.

15. Failed Payments

A payment may fail because of:

  • Insufficient funds
  • Network delay
  • Payment provider downtime
  • Wrong phone number
  • Incorrect payment reference
  • Expired checkout request
  • System timeout

If a payment fails, check whether money was deducted.

If money was not deducted, you may retry through the official EduBridge payment flow.

If money was deducted, contact EduBridge Support before retrying.

16. Duplicate Payments

If you accidentally pay twice for the same plan, contact EduBridge Support.

Provide:

  • Your full name
  • EduBridge account phone number
  • Amounts paid
  • Payment references
  • Date and time of payments
  • Plan selected

EduBridge will verify the payment records and advise whether the extra payment can be refunded, reversed, credited or applied to an upgrade or renewal.

17. Refunds

Refunds are reviewed case by case.

Refunds may be considered for:

  • Duplicate payments
  • Failed transactions where money was deducted
  • Wrong plan activation caused by a confirmed system error
  • Payment made but subscription not activated after verification
  • Other exceptional cases approved by EduBridge

Refunds may not be approved where:

  • The subscription was successfully activated and used
  • Storage or PoE upload access was already provided
  • Payment was made to an unofficial person or personal number
  • False information was provided
  • The request cannot be verified

Refund requests must be submitted through official EduBridge Support.

18. Plan Upgrades

Trainees may upgrade to a higher plan when their PoE grows.

Where upgrade pricing is supported, EduBridge may allow the trainee to pay only the applicable difference or remaining period amount based on the platform rules at the time of upgrade.

Upgrade availability, pricing and proration may depend on the active plan, remaining period, payment channel and platform configuration.

19. Account Security After Payment

Payment does not require you to share your account password.

After paying:

  • Keep your password private.
  • Do not share your OTP.
  • Log out from shared devices.
  • Use your own phone number.
  • Report suspicious login alerts.
  • Do not allow another person to control your EduBridge account.

Your PoE contains your personal evidence and should remain under your control.

20. Institution and Trainer Payment Boundaries

Institution staff, trainers and assessors may support activation and readiness, but they should not ask trainees for personal payment outside official EduBridge channels.

If an institution chooses to sponsor trainees, this should be handled through official institutional arrangements and EduBridge-approved payment processes.

Trainers and assessors should not condition feedback, review or approval on unofficial payments.

21. Payment Safety for QAB / QAI Onboarding

QAB/QAI onboarding for EduBridge + CBET Master is handled through a guided process.

QAB/QAI institutions should not pay informal setup fees to individuals.

Any onboarding, setup, subscription, implementation or custom arrangement should be confirmed through official EduBridge communication and, where applicable, official quotation, invoice, agreement or onboarding approval.

22. Payment Safety for Institution Workspaces

Standard institution ePoE access is available at KES 0 under the trainee-paid model.

If an institution requests additional paid services such as sponsored trainee subscriptions, custom workflows, integrations, industry training modules, teaching practice modules or advanced reporting, payment terms should be provided officially by EduBridge.

Institution users should verify official payment instructions before making any institutional payment.

23. Reporting Suspicious Payment Activity

Report suspicious payment requests immediately.
